Privacy Policy for The Baking Pro

The Baking Pro ("we", "our", or "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, and protect your information when you use The Baking Pro mobile application ("the App").

1. Information We Collect

a) Account Information

When you create an account or log in to the App, we collect your username, email address, and password. We also record basic login activity such as the time of your last login.

b) Contacts Information

If you choose to use the Import from Contacts feature, the App may access and collect full names, phone numbers, email addresses, and physical addresses (if available).

Contacts are accessed only when you explicitly initiate the import action. The App requests the Contacts permission at runtime and only reads the single contact you select.

c) Business & App Data

You may provide data related to:

• Customers/clients (name, email, phone, address, company, tax number, notes)
• Orders and order items (descriptions, quantities, prices, delivery details, notes)
• Invoices and quotes (line items, totals, terms, notes, generated PDF documents)
• Recipes (ingredients, instructions, costs, preparation times, images)
• Designs (name, description, components, pricing, images, sketches)
• Stock/inventory items and transactions
• Shopping lists

d) Financial & Banking Information

If you configure your business settings for invoicing, you may provide banking details including bank name, account holder name, account number, branch code, account type, SWIFT code, and payment reference. This information is used solely to display on your invoices and is stored securely on our servers.

e) Business Profile & Logo

You may upload a business logo from your device's photo library. The App accesses your photo library only when you explicitly choose to upload an image. No camera access is used. The logo is stored as part of your business profile and may appear on generated invoices and quotes.

f) Recipe & Design Images

You may attach images to recipes and designs from your device's photo library. These images are stored as part of your recipe or design data on our servers. The App accesses your photo library only when you explicitly choose to attach an image.

2. How We Use Your Information

We use your information to:

• Provide core app functionality (managing clients, orders, invoices, recipes, designs, and inventory)
• Generate invoices, quotes, and downloadable PDF documents
• Display your business details and banking information on invoices
• Provide business insights and analytics derived from your orders, invoices, and client data
• Send transactional emails such as password resets, verification codes, welcome messages, and account security alerts
• Improve app performance and user experience

3. Data Storage and Processing

Your data is securely stored in a cloud-hosted PostgreSQL database. Our backend API is hosted on secure cloud infrastructure. All data transmitted between the App and our servers is encrypted in transit using HTTPS.

Service providers and hosting platforms may change over time, but all providers are required to meet appropriate security standards.

4. Data Sharing

We do not sell your personal data. Data may be shared only with:

• Email delivery service (SendGrid) — used to send transactional emails such as password resets, verification codes, welcome messages, and account security alerts. Only your email address is shared for this purpose.
• Cloud hosting provider — our backend infrastructure processes and stores your data securely.
• Legal requirements — we may disclose data if required to do so by law or in response to valid legal requests.

We do not use any analytics, advertising, or tracking SDKs. The App does not collect device identifiers, location data, or usage analytics.

5. Data Retention & Deletion

Data is retained only as long as your account is active or as needed to provide you with the App's services. You may:

• Delete individual records (clients, orders, invoices, recipes, designs, stock items) within the App
• Delete your account directly within the App using the account deletion option in your profile settings
• Alternatively, request account and data deletion by contacting us at the email address below

Upon account deletion, all associated data will be permanently removed from our servers within a reasonable timeframe.

6. Permissions

The App requests the following device permissions:

• Internet & Network State — required to communicate with our backend servers and check connectivity.
• Contacts (Read) — requested only when you choose to import a contact as a client. You select one contact at a time via the system contact picker.
• Photos/Media Library — accessed only when you choose to upload a business logo or attach images to recipes or designs. The App does not access your camera.

All permissions are requested at runtime and you may deny or revoke them at any time through your device settings.

7. Data Security

We implement appropriate technical measures to protect your information, including:

• HTTPS encryption for all data in transit
• Secure password hashing (passwords are never stored in plain text)
• Multi-tenant data isolation (each user's data is fully separated)

8. Children's Privacy

The Baking Pro is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13.

9. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us at the email address below.

10. Changes to This Policy

We may update this policy from time to time. Updates will be posted on this page with a revised "Last updated" date.
